Terms and conditions
These notes describe how we work together in practice. They’re intended as a shared understanding rather than a formal contract — a simple and transparent framework so each collaboration can unfold smoothly, fairly, and without surprises.

A booking becomes binding once confirmed in writing and includes the agreed date, location, timeframe, number of guests, format, and any specific requirements.
Applied Notes works across private dining, catering, receptions, tastings, delivery or pickup, workshops, consultancy, and other hospitality projects. Each engagement is composed individually, and the agreed scope defines what is included.
Service staff, rentals, tableware, equipment, or additional support are arranged separately unless otherwise specified.
Additional personnel can be provided at 2,500 DKK ex. VAT per person per day (up to eight hours).

The host provides a suitable workspace with access to a kitchen or preparation facilities, cooking equipment, refrigeration, running water, electricity, and basic service ware unless otherwise agreed.
We typically arrive one to two hours before service and leave the space clean and restored afterwards. Access must be available at the agreed arrival time so preparations can begin as planned. Delays, restricted working conditions, or inadequate facilities may affect service or incur additional costs.
Transport within metropolitan Copenhagen is included. Events outside this area may incur additional travel costs. Applied Notes is not responsible for pre-existing venue conditions or limitations beyond our control.

In the unlikely event of illness or unforeseen circumstances affecting our team, Applied Notes may provide qualified substitutes or adjust staffing as needed. If an event cannot be delivered due to circumstances beyond our control, any unused funds will be returned in full.

Pricing depends on scope, season, staffing, logistics, and complexity. Private dining is priced per guest, while catering, receptions, and larger productions are subject to minimum fees. Consultancy, training, and advisory work are billed per project and may include separate terms depending on scope or travel, always agreed in advance.
To secure a date, a 50% deposit is typically required upon confirmation. The remaining balance is invoiced after the event and is due within eight days. Some projects may require full prepayment. Deposits cover planning and purchasing and are therefore non-refundable within the cancellation window.
Payments are made via bank transfer in DKK. Late payments may incur statutory interest and reminder fees under Danish law.

Final guest numbers must be confirmed ten days before the event and form the basis for billing. Increases after final confirmation are subject to availability and may incur additional charges. Dietary requirements and allergies must be communicated at least 10 days in advance.
Menus follow the season and ingredient availability, and small substitutions may occur to maintain quality. While we take care to accommodate dietary needs, we cannot guarantee a completely allergen-free environment.
Wine and beverages are served responsibly and primarily at private or closed events. Where public licensing or permits are required, the venue or client is solely responsible for obtaining the necessary permissions. We reserve the right to refuse service to intoxicated guests.

Where food, beverages, or equipment are delivered or made available for pickup, responsibility transfers to the client upon handover. After handover, storage, handling, and food safety are the client's responsibility.
Service ware, glassware, or equipment provided by Applied Notes must be returned clean unless cleaning has been agreed as part of the service. Clients are responsible for loss or damage to Applied Notes' equipment, tools, or materials caused by guests or venue conditions. Any surplus food or wine remains the property of Applied Notes.

Adjustments to scope, staffing, or schedule after confirmation may affect pricing. Events are planned within the agreed timeframe. Service extending beyond this period will be charged at 10% of the total cost per started hour.
Cancellations made more than 30 days before the event are free of charge; between 10 and 30 days, 50% of the agreed amount is charged; less than 10 days, 100% is charged.
In cases of force majeure (including but not limited to severe weather, transport disruption, supplier failure, or government restrictions), only documented costs incurred will be invoiced.

Applied Notes may document events, projects, and collaborations for portfolio, communication, or editorial purposes unless otherwise agreed. All menus, recipes, concepts, formats, and materials developed as part of our work remain our intellectual property unless explicitly transferred in writing.
Access to the Wine Archive or other curated resources is by invitation or agreement and does not constitute ownership or subscription unless separately defined.

Clients are responsible for ensuring their venue and guests have appropriate insurance coverage. Applied Notes is not liable for damages beyond our direct control. All agreements are governed by Danish law and resolved through dialogue or, if necessary, through Danish courts.
